Booking Procedures

Prospective events are normally asked for the following:

  • A letter describing the theme and content of the event. Supporting advertising, press kits and brochures are also requested.
  • The history of the event elsewhere, including dates, net square footage, hotel room nights and attendance.
  • Audited company financial statements and banking references.
  • Business references.
  • Dates and space required at Javits and alternatives.

If the event is considered competitive with other Javits events, event organizers may be asked for:

  • Exhibitor lists.
  • Attendees profiles.
  • Conference schedule descriptions.
  • Plenary session guest and content.

Prospective Special Events are normally asked for the following:

  • A letter describing the theme and content of the event.
  • Banking and business references and sometimes audited financial statements.
  • Service requirements for food and catering, utilities, cleaning, furniture and staging and audio/visual.
  • Dates and space required at Javits and alternatives.
  • For new organizations or those with weak financial statements, a significant deposit may be required.
